The Administrative Operations Assistant will provide essential support to our team by managing calendars, coordinating administrative tasks, and ensuring smooth day-to-day operations. This role requires strong organizational skills, attention to detail, and the ability to communicate effectively in both English and Spanish. The assistant will be responsible for coordinating internal processes, handling documentation, and supporting team logistics.
Responsibilities:
- Create, manage, and update corporate and personal calendars (meetings, events, key dates, vacations).
- Coordinate in-person and virtual interviews, meetings, and appointments.
- Prepare, review, and manage documents such as NDAs, equipment handover forms, and project agreements.
- Prepare offer letters for new hires.
- Request quotes, process small purchases (food, office furniture, equipment, flights, etc.).
- Support purchases, reimbursements, and returns.
- Coordinate office space usage, deliveries, and daily logistics.
- Support recruitment processes, including scheduling candidate tests and follow-ups.
- Organize and update internal documents such as transportation policies, remote work policies, vacation rules, and equipment responsibility manuals.
- Strong organizational and multitasking skills.
- Comfortable handling calls, scheduling, and administrative procedures.
