The Procurement Coordinator supports the procurement operations and administrative functions of a company specializing in equipment sales and project execution in the construction industry. This position plays a key role in coordinating supplier activities, ensuring accurate and timely purchases, managing documentation, and assisting with internal administrative processes that keep operations running efficiently. You’ll work closely with the Procurement, Finance, and Administrative departments, helping standardize procedures, organize records, and contribute to project execution. Responsibilities:
- Support the end-to-end procurement process — from supplier quotation to purchase order issuance.
- Compare quotations, analyze supplier offers, and assist in vendor evaluation.
- Create and maintain Excel lists of equipment, materials, and quantities to be procured per project.
- Verify item availability and lead times directly with suppliers and coordinate replacement options when needed.
- Track deliveries, logistics, and vendor schedules to ensure timely arrival of materials.
- Maintain up-to-date supplier databases and procurement documentation.
- Establish logic and structure for internal workflows, document naming, and project file organization.
- Organize and standardize all procurement-related documentation — including drawings, technical datasheets, and correspondence.
- Assist with internal administrative coordination across departments (Procurement, Finance, Operations).
- Support back-office activities such as vendor onboarding, invoice verification, and expense documentation.
- Participate in coordination meetings and ensure follow-up actions are completed.
- Support the Accounting Department by categorizing expenses, uploading receipts, and verifying supporting documentation.
